Communication styles in the workplace
Everyone has a communication style. Communication styles are our tendency to communicate directly or indirectly. It is important to know why people communicate the way they do.
Before you learn what the main communication styles are, you need to learn how to understand them.
There are three ways to identify someone’s communication style:
- Ask questions
- Observe reactions
- Listen actively
Knowing your coworkers’ communication styles can give you better insight into how to speak with them. Once you learn to identify each style, you will be better equipped to work with others.
There are four main communication styles you will encounter in the workplace.
1. Passive Communication Style
Passive communicators usually stay quiet. They are not quick to seek attention or take a strong stance during debates. It is seldom that they voice their needs or opinions. It is difficult to know when they are feeling uncomfortable or need help.
Tips for Communication
When dealing with a passive communicator take a direct approach. Initiate one-on-one conversations; it helps them feel more comfortable. Ask for their opinions. Showing interest in what they have to say can help build a relationship.
2. Aggressive Communication Style
Aggressive communicators tend to try and dominate the conversation. They are quick to react without giving the situation much thought. This style can often come across as intimidating. Unfortunately, this approach fractures relationships and injures morale.
Tips for Communication
Be calm during communication. Focus the conversation on the action at hand rather than the way they are communicating. Stay professional. Do not let emotions cloud the conversation. If the aggression becomes too much, feel free to walk away.
3. Passive-aggressive Communication Style
Dealing with passive-aggressive communicators can be difficult. Their words and actions do not typically align. Common signs of this type of communication are sarcasm, denial, and the silent treatment. They tend to undermine your efforts to help them.
Tips for Communication
Be very clear when speaking. Leave no room for misinterpretation or confusion. Confront negative behavior. Have a third-party present when taking corrective actions. It is essential to be direct. Ask for their feedback to promote honest communication.
4. Assertive Communication Style
Assertive communicators are widely respected. They are confident, respectful, and polite. Their thoughts and ideas are always clearly communicated. They know their limits. Unlike passive communicators, they know when to say no. They have clear boundaries. They do not feel the need to act aggressively. They have a strong tendency to make people feel comfortable.

Assertive communicators are the best people for leadership roles. Encourage them to share their ideas with others. They are good at resolving conflicts. They are your best allies when handling situations.
